Position Title: Sr. Retirement Plan Administrator

Department: Third Party Administration (TPA)

Role Description:

The Sr. Retirement Plan Administrator is responsible for compliance testing and reporting on the 401(k) and 403(b) qualified plans. Prepares all IRS & DOL (EBSA) required reports, Including Form 5500 and related schedules for all plans in a timely manner with exceptional quality. Completes year-end and mid-year non-discrimination testing for clients as required by the Internal Revenue Service (IRS) to ensure compliance. 

Key Responsibilities:

Compliance Oversight:Spearheads compliance testing for 401(k) and 403(b) plans to guarantee adherence to IRS regulations. Executes checks to validate plan eligibility, contribution limits, and non-discrimination aspects.

Regulatory Reporting:Takes charge of preparing and filing all essential IRS and DOL (EBSA) required reports. This includes, but is not limited to, the preparation of Form 5500 and associated schedules for all plans, ensuring timely submission with an unwavering commitment to exceptional quality.

Non-DiscriminationTesting: Conducts thorough mid-year and year-end non-discrimination testing mandated by the IRS. This critical evaluation ensures fairness and compliance across the plans and protects against any discriminatory practices.

Client Collaboration:Engages with clients to understand their specific requirements and conducts necessary tests and assessments to ensure their plans meet regulatory standards. Provides guidance and recommendations to ensure optimal plan structure and compliance. Some of these activities may include, but not limited to:

  • Coordinate year-end valuation
  • Read and interpret plan documents
  • Importing census and participant account data
  • Asset Reconciliation/Trust Accounting
  • Year-end valuation
  • Loan, hardship, and distribution review

Plan Consulting:

  • Evaluate and enhance the effectiveness of the retirement plan design to better align with the needs of employees and maximize participation and contributions.
  • Effectively communicates the necessary regulatory information and testing requirements to clients in a way that can be easily understood by individuals who are not in the business.
  • Reviews, interprets, and maintains the legal plan documents in order to assist clients in ensuring plan compliance with current IRS/DOL regulations.
  • Works with internal staff, clients, and vendors to ensure accurate and timely response to all outstanding client/plan issues.
  • Draft and complete plan documents, restatements, and amendments coincide with the implementation of new plans and for ongoing plans as required. 
  • Prepare for and participate in client and partner-related meetings, both internal and external. 
  • Keep management informed of sensitive issues and proactively work with stewardship advisors, recordkeepers, participants, and plan sponsor specialists to retain key clients and assets.
  • Research and resolve operational and regulatory compliance issues arising from both client and partner questions and from internal activities.

Team Collaboration and Leadership:

  • Collaborates effectively within the Recordkeeping, and Client Services, and Onboarding team, providing mentorship and guidance to junior staff members.
  • Acts as a subject matter expert, offering support to resolve complex issues or inquiries.
  • Trains team members in third-party administration work, ensuring their proficiency in handling administrative tasks, including plan testing and filling of form 5500

Organizational Relationships:

The Sr. Retirement Plan Administrator will report to the head of Retirement Plan Services and perform the functions within the overall team environment.

Position Requirements and Competencies:

Qualifications:

  • A bachelor’s degree in business administration, finance, or a related field.
  • 3-5 years of a related retirement plan or Plan Document experience required.
  • Must have experience with 5500’s and other relevant documents
  • Involvement or work towards QKA designation
  • Familiarity with and proficiency in, ASC’s DGEM Document Software is strongly preferred.
  • Familiarity with and proficiency in Relius Recordkeeping Software strongly preferred.
  • Strong attention to detail and the ability to prioritize, manage tasks, and meet in connection with business operations, including related ERISA compliance matters

Work Setting:In-person and remote (Hybrid)

Travel:May require in-state or out-of-state travel

Benefits:Personal Benefit Allowance, Retirement Benefits, Generous PTO, Life Insurance

Pay Scale:$72,000-$80,000/year
